Job Description
1. To oversee the day to day operations of the backoffice functions dealing in unit trusts funds and private retirements schemes;
2. To manage an efficient and effective Operations Division that deal with processes involving various stakeholders including unit holders, trustees, unit trust management companies, institutional unit trust advisors, authorities, auditors, vendors, compliance, finance department, marketing channels, senior management, and Board of Directors;
3. To implement, maintain and review accurate and effective, operational reporting systems and to regularly review and update operational manual;
4. To ensure effective implementation of Know Your Client (KYC), Client Due Diligence (CDD), Enhanced CDD processes, accurate and timely processing of client applications and transactions for all products and services;
5. To ensure records are securely and properly kept pursuant to the provisions of the CMSA, AMLATFPUAA, Bursa Derivatives Business Rules and Clearing house Rules for minimum period of 7 years;
6. To ensure the functions of entry and verification of all types of unit trusts and PRS transactions as well as function of sending orders to unit trust management companies and PRS Providers are carried out on a timely, accurate and efficient manner;
7. To ensure all transactions and corporate exercises are processed accurately, effectively and on timely manner;
8. To ensure all securities reconciliations are done monthly and when required;
9. To ensure proper segregation of duties among operations staff;
10. To ensure timely submission of accurate reports to the authorities, include EPF, parties appointed by EPF, SC and BNM as well as auditors;
11. To analyse exception reports, to perform regular AML/CFT review, and notify the senior management and the compliance officer of any exceptional items;
12. To continuously drive enhancements to backoffice systems and platform to improve operational efficiency and effectiveness;
13. To monitor and report to the management the progress of IT projects relating to backoffice operations;
14. Carry out any other duties required to operate the Back Office system in such a way as to provide timely and reliable information to its users.
15. Must be strong analytical skills and good in microsoft excel.
